Unanet Champions Code of Conduct and Event Policies

Welcome to Champions!

We’re thrilled to have you join us for our annual user conference where we will explore ideas, share knowledge, and foster connections.  

To ensure a positive experience for all attendees, Unanet requires all attendees to adhere to certain standards of conduct and attendee policies. We believe in a safe and inclusive environment for all attendees, where individuals feel safe expressing viewpoints and opinions. This Champions Event Code of Conduct and Attendee Policies (“Event Policies”) are designed to set forth a clear set of guidelines that everyone is expected to adhere to while attending the Champions Conference.  

By attending the Champions Conference, you agree to abide by these Event Policies. Thank you for your cooperation and we hope you have a rewarding and enjoyable experience!  

Attendee Policies and Registration

Registration; Data and Privacy. All attendees must register through the official Unanet Champions Conference registration link. By registering, you consent to Unanet’s collection of your personal details for event registration, organization, and future communications in accordance with our Privacy Policy. The personal details we may collect include your name, email address, company name, job title, phone number, session attendance data, photograph and video recordings, and badge scanning data. We may use this information for event registration and administration, session planning and capacity management, personalized event experience, future event communications and marketing, sponsor access, and security purposes. Your information may be shared with our consultants, partners, technology platform providers and other vendors, and event sponsors. We will retain your information in accordance with our Privacy Policy. You may exercise your rights in connection with your personal information as set forth in our Privacy Policy.

Cancellations. Cancellations must be submitted at least thirty (30) days prior to the event start date in order to receive a 50% refund. Registration fees are non-refundable for cancellations received after such date (30 days prior to the event start date). To cancel your registration, you may email unanet@bishopmccann.com or login to your registration and cancel from the confirmation page.

Force Majeure. Unanet reserves the right to cancel, postpone, reschedule, relocate, or modify the Champions Conference due to force majeure events or other circumstances beyond Unanet’s reasonable control. Force majeure events include, but are not limited to: natural disasters (including hurricanes, earthquakes, floods, fires, or severe weather conditions); pandemics, epidemics, or public health emergencies; acts of terrorism, war, or civil unrest; labor disputes or strikes affecting the venue, vendors, or essential services; government orders, regulations, or travel restrictions; venue damage, destruction, or unavailability; utility failures or infrastructure disruptions; and any other circumstances that make it commercially impracticable, unsafe, or impossible to conduct the Champions Conference as originally planned. Upon the occurrence of a force majeure event, Unanet may, in its sole discretion: (a) cancel the Champions Conference entirely; (b) postpone or reschedule the event to a later date; (c) relocate the event to a different venue; (d) convert the event to a virtual or hybrid format; (e) modify the event format, schedule, speakers, content, or duration; or (f) take any other reasonable action deemed necessary under the circumstances.

Unanet shall not be liable for any damages, losses, or expenses incurred by attendees as a result of such cancellation, postponement, or modification.

Unanet reserves the right to make operational changes to the Champions Conference, including but not limited to schedule modifications, speaker substitutions, session changes, content updates, and health and safety protocol adjustments, without such changes constituting a cancellation.

Proprietary Information; Confidentiality. The information presented during the Unanet Champions Conference contains proprietary and confidential information of Unanet and/or the presenting company. All attendees acknowledge and agree that the materials and information presented are not intended to be and may not be further disclosed or transferred. All intellectual property rights in the information presented remain the property of Unanet or the presenting company. No license or rights to the information are granted by attending the conference. Attendees who present, speak, participate in panel discussions, or otherwise contribute content at the Champions Conference (including presentations, materials, comments, questions, or other contributions) grant Unanet a non-exclusive, worldwide, royalty-free license to record, reproduce, distribute, and publicly display such content for Unanet’s business purposes, including marketing and promotional materials. Attendees represent and warrant that they have the right to grant this license and that their content does not infringe any third-party intellectual property rights. For clarity, this license grant applies only to content actively contributed by attendees as speakers or panelists, not to proprietary business information shared informally during networking or private conversations.

By registering and attending the Champions Conference, you agree to maintain the confidentiality of this information presented and refrain from disclosing or using such information for any purpose other than participating in the Champions Conference. Unanet makes no warranties, express or implied, as to the accuracy, completeness, or reliability of any third-party content presented, and assumes no responsibility or liability for any reliance on such content by attendees.

Attendees may not use any content presented at the Champions Conference for any purpose, including without limitation, as input into any generative artificial intelligence or machine learning software, to create any derivative works, or for any other purpose that infringes Unanet’s or sponsors’ or other attendees' intellectual property rights or privacy rights.

Badge Policy. All attendees must wear their Champions Conference badge visibly at all times while at the conference venue and related events. Badges are non-transferable and valid only for the individual attendee whose name appears on the badge. Attendees are strictly prohibited from sharing, lending, selling, or otherwise transferring their badge to any other person.

Champions Code of Conduct

Respectful Conduct.  

We ask that attendees behave respectfully to others, including other attendees and venue staff. Do not insult or put down other attendees and never make harassing, sexist, racist, or exclusionary comments or jokes.  

All attendees must:  

Be considerate and respectful in communications.  

Refrain from comments that are harassing, discriminatory, derogatory, or demeaning.  

Refrain from inappropriate physical contact or unwelcome sexual attention.  

Refrain from sustained disruption of talks or events.  

Alert a Unanet staff member if they observe any conduct that violates this Event Code of Conduct.  

Unanet expressly prohibits harassment and discrimination based on race, color, religion, national origin, sex, age, pregnancy, genetic information, military and veteran status, marital status, personal appearance, gender identity or expression, sexual orientation, disability or perceived disability (physical or mental), family responsibilities, political affiliation, or any other legally protected characteristic. Such behavior will not be tolerated.  

Compliance with Policies.

This Champions Code of Conduct applies equally to all participants at the Champions Conference, including attendees, speakers, sponsors, exhibitors, vendors, contractors, and Unanet staff. Sponsors, exhibitors, and vendors are responsible for ensuring that their representatives comply with all provisions of this Code of Conduct and Event Policies.

All attendees must:  

Adhere to all conference policies, including those related to registration, badge usage, and attendance at sessions and events.  

Comply with all rules, policies, and procedures of the hotel where the Champions Conference is being held.

Comply with all applicable laws and rules in the state where the Champions Conference is being held.  

Respect the intellectual property rights of speakers, sponsors, and other attendees. Do not record sessions or distribute materials without permission.

Sponsors and vendors must conduct themselves professionally at all times. Unanet reserves the right to remove any sponsor, exhibitor, vendor, or their representatives from the Champions Conference for violations of this Code of Conduct, without refund of sponsorship or vendor fees.  

Safety Recommendations.  

In an urban environment, it is essential to prioritize safety. We encourage you to stay at the conference facilities or the location of Unanet sponsored events. Here are some recommendations that we strongly encourage all attendees to adhere to while attending the Champions conference:  

Stay Aware: Be mindful of your surroundings and keep personal belongings secure at all times.

Use Official Transportation: When traveling to and from the conference venue, consider using official transportation services or reputable rideshare options.  

Buddy System: If exploring the city, we strongly encourage partnering up with fellow attendees and travel in groups of people. Stay away from unlit areas and exercise caution or avoid exploring the city after dark. Avoid any areas without large groups of people.  

Emergency Contacts: Familiarize yourself with emergency procedures and keep important contacts, such as local authorities and hotel staff, readily accessible.  

Minimal Alcohol Consumption: While we encourage networking and socializing, please consume alcohol responsibly. Excessive drinking can impair judgment and compromise safety. All attendees must be at least 21 years of age to consume alcohol and must present valid identification when requested. Unanet and venue staff reserve the right to refuse to serve alcohol to any attendee who appears intoxicated or who is behaving inappropriately.

Reporting and Consequences.

If you observe or believe another attendee has violated this Event Code of Conduct, please alert a Unanet Champions event staff member immediately. You may do this by visiting the attendee services desk or emailing unanet@bishopmccann.com (monitored after hours). All reports will be treated seriously and investigated promptly. Unanet will maintain the confidentiality of all reports to the extent permitted by applicable law while conducting its investigation. Information will only be shared on a need-to-know basis with individuals directly involved in the investigation and resolution process. Attendees who are violating this Event Code of Conduct will be asked to stop the violating behavior immediately and are expected to comply in all respects with this Code of Conduct. At Unanet’s sole discretion, any violation of this Code of Conduct may result in removal from or denial of access to the Champions Conference without refund of any applicable registration fees and/or disqualification from attendance at future events. Unanet strictly prohibits retaliation against any individual who reports a Code of Conduct violation in good faith or participates in an investigation.

Health and Safety Protocols

The health and safety of our customers, employees and partners is Unanet's top priority and Unanet will follow local laws relating to health and safety. Unanet reserves the right to modify or enact new health & safety protocols if required to ensure the safety of our attendees.

Accessibility and Accommodations

Unanet is committed to taking all reasonable steps to ensure that the Champions Conference is accessible to all attendees in accordance with applicable laws and regulations. Attendees who require accommodations to participate in the Champions Conference are encouraged to submit their requests as early as possible (at least four (4) weeks prior to the event).

Disclaimers

IN NO EVENT SHALL UNANET BE LIABLE TO ATTENDEE FOR ANY CONSEQUENTIAL, INCIDENTAL, SPECIAL, INDIRECT, OR PUNITIVE DAMAGES ARISING OUT OF OR RELATING TO THE CHAMPIONS CONFERENCE, WHETHER BASED IN CONTRACT OR TORT (INCLUDING NEGLIGENCE), AND WHETHER OR NOT UNANET WAS ADVISED OF THE POSSIBILITY OF SUCH DAMAGES; EXCEPT FOR DAMAGES CASUED BY UNANET’S GROSS NEGLIGENCE OR WILLFUL MISCONDUCT OR FOR CLAIMS OF BODILY INJURY OR DEATH,

By registering and attending the Unanet Champions Conference, attendees release Unanet, Inc. And its officers, directors, employees, and agents from all damages, losses, liabilities, and claims arising out of or relating to attendee’s participation in the event, including any claims related to use of the attendee’s likeness or contributions in Champions Conference events. Unanet shall not be held responsible for any loss, injury, or damage to persons or property which may be sustained by an attendee during the Champions Conference.
